What is a Digital Signature Certificate?

A Digital Signature Certificate, or DSC, is an electronic credential issued by a licensed Certifying Authority that proves who you are when you sign a document online. Under the Information Technology Act, 2000, it carries the same legal weight as a signature made by hand.

The short answer

A DSC uses Public Key Infrastructure to lock your identity to a document. Sign a file with it and two things become provable: that you signed it, and that nobody has altered it since. That is why the MCA, the Income Tax Department, the GST portal, Customs, EPFO and DGFT all ask for one before they accept a filing.

Today only Class 3 certificates are issued. They are stored on a PIN-protected USB token, valid for one or two years, and issued after a short live video verification.

Where you will actually need it

Most people come to us because a portal has stopped them mid-filing. The MCA will not accept an annual return without a signed form. An e-tender closes in two days and the bid needs a Class 3 certificate with encryption. An exporter cannot amend an IEC because the DGFT portal wants a DSC mapped to the firm.

Class 2 DSC is no longer issued

Following revised CCA guidelines, Class 2 certificates have been discontinued and replaced by Class 3. Every filing that once used a Class 2 DSC — ROC documents, income tax returns, regulatory submissions — now needs a Class 3 certificate. If yours is close to expiry, apply for a Class 3 renewal rather than a like-for-like replacement.

Personal use

Class 1 DSC

Issued to individuals and confirms only the holder's name and email address. It secures personal email correspondence and nothing more. No statutory filing will accept it.

Discontinued

Class 2 DSC

Once the standard for Registrar of Companies filings, income tax submissions and other regulatory work. Withdrawn by the CCA and folded into Class 3.

Issued today

Class 3 DSC

The highest assurance level, required for e-tendering, e-procurement, GST filing, MCA filings, customs and DGFT. Issued only after the applicant's identity is verified live.

What a DSC actually does to your document

Four properties do the work, and they are the reason regulators trust an electronic signature at all.

Authentication

The certificate is bound to your verified identity, and the USB token asks for a PIN before it will sign anything. Only the authorised person can use it.

Data integrity

Change one character after signing and the signature breaks. Contracts, agreements and government submissions cannot be edited quietly.

Non-repudiation

Once a file is signed digitally, the signatory cannot credibly deny it. This is what makes a DSC dependable for legal and financial documents.

How to apply for a digital signature certificate

Five steps from your first message to a working token in your hand. Any individual, company, LLP or organisation with a valid PAN and Aadhaar can apply; foreign nationals apply with a passport and visa.

  1. Choose your certificate type

    Tell us what you will sign — MCA forms, income tax returns, GST, tenders or DGFT filings. We confirm whether you need Class 3 signing only, or signing with encryption, before anything is paid for.

  2. Fill the DSC application form

    Share your personal or organisation details once. Our team completes the certifying authority's form on your behalf and checks it against your documents before submission.

  3. Upload your documents

    Identity proof, address proof and a passport-size photograph. Organisations add the company PAN, certificate of incorporation, authorisation letter and board resolution.

  4. Complete video and mobile verification

    A short live video verification with the certifying authority, plus an OTP sent to the mobile number linked to your Aadhaar. It usually takes under five minutes.

  5. Receive your token and start signing

    The CA verifies your documents within one to three working days. We then download the certificate onto your USB token, ship it out and walk you through installing the driver.

Keep these ready before you start and the application usually clears in a single pass. Mismatched names and stale address proofs are what send an application back.

Who issues a digital signature certificate in India

The Controller of Certifying Authorities (CCA), under the Ministry of Electronics and Information Technology, licenses and supervises every Certifying Authority in the country. A certificate from anyone else is not a DSC, whatever it is called.

How to download your DSC once it is approved

Approval and download are two different steps, and this is where most people get stuck. After the CA approves your application, log in to its portal with your application reference number and registered mobile number, open the certificate download section, and follow the prompts to write the certificate onto your token.

You will also need the token driver installed on the machine you sign from. We do this part with you over a screen share if you would rather not handle it alone, and we test a signature before we call it done.

What is a Digital Signature Certificate (DSC)?

A DSC is an electronic credential issued by a licensed Certifying Authority that proves your identity online. It uses PKI technology and, under the IT Act 2000, carries the same legal validity as a handwritten signature.

Why do I need a DSC?

It is required for MCA and ROC filings, income tax e-filing, GST registration, customs, EPFO and DGFT submissions, and for bidding on e-tender and e-procurement portals. Most of these portals will not accept a submission without one.

Which class of DSC should I apply for?

Class 3. Class 1 covers only email verification, and Class 2 has been discontinued by the CCA. Class 3 is the only class issued today for statutory and commercial use, in signing-only or signing-plus-encryption form.

Who issues Digital Signature Certificates in India?

Only Certifying Authorities licensed by the Controller of Certifying Authorities, which sits under the Ministry of Electronics and Information Technology. eMudhra, NSDL e-Governance, Sify, CDAC and Capricorn are among the licensed CAs.

How long is a DSC valid?

One or two years from the date of issuance. Two-year certificates cost less per year and mean fewer renewals, which is why most applicants choose them.

How long does the whole process take?

The certifying authority normally verifies documents and identity within one to three working days. Once approved, we dispatch the token the same day wherever possible.

What documents are required to apply for a DSC?

Individuals need identity proof, address proof, a passport-size photograph and an Aadhaar-linked mobile number. Organisations add the company PAN, certificate of incorporation, an authorisation letter on letterhead, a board resolution and the signatory's own proofs.

How is the identity of the applicant verified?

Through an Aadhaar-linked mobile OTP, the identity and address proofs you submit, and a short live video verification recorded with the certifying authority.

Can a company apply for a DSC?

The certificate is always issued in the name of an authorised individual — a director, partner or signatory — with the organisation's name carried inside it. You will need the company PAN, an authorisation letter and a board resolution.

Do I have to buy a USB token?

Yes. Certifying authorities issue Class 3 certificates onto a FIPS-compliant USB token protected by a PIN. The certificate cannot be copied off the token, and that restriction is what keeps it secure. Our package prices include the token.

Can I renew an expiring DSC?

Yes, and it is worth starting two to three weeks before expiry. Renewal follows the same verification steps as a fresh application, and you can often reuse your existing token.

What happens if I lose the token or forget the PIN?

A lost token, or one locked after repeated wrong PIN attempts, cannot be recovered — a fresh certificate has to be issued. Tell us as soon as it happens and we will start the reissue straight away.

Can a foreign national apply for an Indian DSC?

Yes. Foreign nationals and foreign directors apply with a valid passport and visa in place of Aadhaar-based documents, usually with attestation. Tell us the country of residence and we will confirm the exact set before you start.

Can one DSC be used on several portals?

One Class 3 certificate can be registered on the MCA, income tax, GST and EPFO portals. DGFT and many e-tendering portals need a certificate with encryption, so check what you will be signing before choosing a package.
